Server is free with the purchase of Notepad. About SoundOFF - Have you ever been in a meeting and had the Series 3a alarm start ringing. It can be embarrassing. SoundOFF will stop that from happening again. Here's how it does it: SoundOFF lets you build a database of events. An event represents a future time and date when the sound should be turned off. SoundOFF will wake up the machine at the minute you want the sound turned off. The sound will be turned off. After the event duration is completed the machine wakes up and the sound is turned back on so you won't miss any future alarms. The next earliest event will then be queued. If the event that just terminated is repeatable, the time/date of that event will be updated before finding the next earliest event. Alarm Server - The Alarm Server seeks to provide a better method of handling alarms on the Series 3a. The Pelican Software Alarm Server, (as opposed to the built in alarm server), can snooze an alarm and let you go do something else. The machine is fully usable while this alarm is snoozing, or even while the alarm is ringing. The snooze time is selectable by you. This way if you're not ready to handle an alarm, you can decide to snooze the alarm for 30 minutes, (or whatever), and take care of it the next time it rings. Getting Started 컴컴컴컴컴컴컴� When you first start The Server you will be prompted to show Server your standard sound settings. This is so that the program will know what settings to return your sound to when it turns the sound back on. Choose "Re-configure sound" to change these settings at a later date. The program does this since when you start up SoundOFF your sound may be off, and SndOFF would not know what your standard ON settings are. Note: There are two views in the Server. There is the Alarm Server view and the SoundOFF view. Press the diamond key to switch views. Set the diamond position to SoundOFF... Press to set a New Event. Type in a name for the event. Next type in the date, time and duration of the event. If you want the event to repeat, set the repeat type. With repeats there are lots of events that you only have to enter once. For example if you get up every morning to go out and walk, and you don't want an alarm going off while you're out walking, just set a SoundOFF event in the time slot that you normally go out, and set it to repeat Daily. Change the disk selector to the disk you installed Server to. Select Server, and press Enter to install it. If you need more help with this, see the section on re-inserting icons in chapter 16 of the user manual for your Psion. AUTO COMPRESS 0-4 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� The Server auto compresses it's files every time the date changes. This keeps updated and deleted records from causing the files to grow large. NEW EVENT SECTION 1 - Event Menu Heading 1-1 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Use Psion, Enter, or choose "New Event" from the Event pull-down menu to create a new event in the SndOFF database. Do this when you want to enter a new time for the machine to turn off. � Fill out the Description. (Give your event a name, like "Lunch meeting".) � Enter the date and time. Must be a future date. � Enter the duration of the event. � Enter the repeat type. There are many repeat types. See the section on repeats if you need help with this. UPDATE EVENT 1-2 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion, Psion Follow the same guidelines as "New Event". This just gives you the opportunity of changing the details of an event. DELETE EVENT 1-3 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion,Del Use this option when you want to delete an event from the SoundOFF data- base. Note that this won't let you delete the current event. You'll need to use the "Cancel current" option to do this. CANCEL CURRENT EVENT 1-4 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Cancel Current lets you cancel the current queued event. The sound will be turned back on when you cancel an event. FIND SECTION 2 - Search Menu Heading 2-1 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion This option searches through the database to find a particular entry. Press Psion to bring up the "Find" dialog. � Type in a clue to search for, and press Enter. If Server can find a match, it will be brought to the front. Note: This will search which ever database is active. If you are in SoundOFF, the SoundOFF database will be searched. Likewise for the Alarm Server. FIND AGAIN 2-2 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Use this option after doing a search, when you want to find another match using the same clue. VIEW DESCRIPTION 2-3 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Shift, spacebar This option will bring up an autosized window with the full Description of the event/alarm being viewed. Sometimes the description won't fit on the screen, so this lets you view the whole text. READ AGENDA SECTION 3 - Agenda Menu Heading 3-1 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion This option starts by finding your Agenda file. If the Agenda is running, it will do a safe shutdown. Next it will open the Agenda and start searching for appointments. On finding a marked entry, you are given the option of editing the data for use with SndOFF. Press Enter to save the item to SndOFF, or press Escape to continue searching. When you're done, Server will restart your Agenda. Only future appointments are found unless you set the "Bring in Old Entries" option. ENABLE/DISABLE AUTO SEARCH 3-2 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Shift This is an automated Agenda search that will import all marked appointments from your Agenda that are set for the current day. This allows you to use SoundOFF entirely in the background. The process becomes completely automated. Here's how it works... When you choose to "Enable Auto Search", SoundOFF will create a special event called "". The time and date of this event can be edited, but not the Description. You should set the Auto Search to happen first thing in the morning. When this event comes due, SoundOFF will automatically read your Agenda looking for todays appointments, adding them to the SoundOFF database. This all happens in the background. This event will repeat every day. Of course the Agenda entries must have your special character prefix as the first character. (Section 3-3) To Disable Auto Search, you can't delete the Event. Instead use the menu option "Disable Auto Search". This will delete the event for you. Note that when Auto Search adds events from your Agenda, it sets the sound to turn off 1 minute after the event begins. This is to give you a chance to respond to an alarm. You have one minute to respond to an alarm reminding you of the event, and after this the sound is turned off. Note that it doesn't matter that the machine is stuck waiting for you to clear the alarm. SoundOFF is still working in the background. FORCE AUTO SEARCH 3-3 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Registered only Use this feature when you've made a change to your schedule during the day. SoundOFF will delete all of todays entries in the SoundOFF data- base, and re-open the Agenda to re-import todays appointments. Note that only database entries brought in using the "Auto Search" method are deleted. Database entries typed in from SoundOFF are not deleted. When using "Force Auto Search" the Auto Search event is not changed in any way. This is the best way to do an update of daily appointments in the SndOFF database. PREFERENCES SECTION 4 - Special Menu Heading 4-1 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion There are two preferences areas, Alarm Server and SoundOFF. SoundOFF: You must choose this option before you can read Agenda files. Show SndOFF where you default Agenda file is. It must know this in order to know which Agenda file to open. ---------------------------------------- SoundOFF Preferences Bring Server to Front After Setting Sound Turn Machine off after Setting Sound Agenda Preferences . Default Agenda Name <-filename-> Disk internal . Character to Search for ^ . Bring in Old Entries <-No-> ---------------------------------------- The option called "Turn Machine off after setting sound" will turn the power off on the machine after making a change in your sound. This was requested by users to conserve batteries. The only bad side affect of this is that if you are using the machine when SoundOFF turns the sound on or off, your machine will power down. It's not a bad tradeoff though if you're worried about conserving battery power. Note that the "Character to Search" option allows you to enter a character identifier for SndOFF to look for. SndOFF will only allow you to bring in Agenda entries that begin with this character. This is the method you use for telling SndOFF which appointments can be brought into the SndOFF data- base. If it's still not clear, go into your Agenda. Go into the day view, and press Enter to start a new entry. If your "Character" is a period<.>, start by typing a period, and then the rest of your message. ( .This is a test ) SndOFF will find this entry and pass over all others that don't begin with your "Character". The character can be any character you can type in. The entry must be a future entry when using Auto Search. "Bring in Old Entries" forces SndOFF to search even old entries as long as they begin with your special character identifier. Turn this on only when you need to bring in an old entry. Remember that in SndOFF you have repeats. You may have an old entry that you want to bring-in because it repeats. Note: This works when using "Read Agenda File", not Auto Search. Auto Search brings in entries from today only. SET SOUND 4-2 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion This does exactly the same thing as Pressing Psion from the system screen to set your sound. RE-CONFIGURE SOUND 4-3 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Shift Use this option when you want to reset your default sound settings for SndOFF. To explain this better, SndOFF needs to know what your standard sound settings are so that when it turns your sound back on, it will set all of your sound settings correctly. When you choose this option, you are just showing the program what your default settings are. VERSION 4-4 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Displays the version number in lower right corner. This is for the emergency situation when you don't have the time to spend filling out the normal "New Event" dialog. OVERLAPPING EVENTS 5-5 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Note that SoundOFF at this time doesn't handle overlapping events. In other words you have to watch out not to schedule timed events that overlap each other, and expect SoundOFF to correctly turn the sound off for these. It won't. Suppose you have a meeting at 6:00pm that you've set for 1 1/2 hrs. and Dinner at 7:00pm. SoundOFF will turn the sound off at 6:01 pm and won't look for new events until 1hr 29min later. By this time when the sound turns on, your Dinner appointment is considered an old event and is dropped. There is a 2 minute minimum duration for an event in order for SoundOFF to work correctly. This only applies to events imported using the "Auto Search" feature. Here's how it works: SoundOFF starts an event 1 minute after the appointment time in the Agenda file. It does this to give time for you to respond to a alarm if one was set. Since it starts one minute later, it has to take one minute off of the duration. An event with a one minute duration wouldn't work because SoundOFF would be starting the event, and the event would already have finished. Sounds confusing, I know. Suffice it to say that back to back events with a duration of one minute will not work. WHAT WILL SOUNDOFF DO TO MY AGENDA FILE? 5-6 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Nothing! It only opens your Agenda file for read only. SoundOFF never writes to your Agenda file, and therefore CANNOT corrupt it. You can use SoundOFF without fear. ALARM SERVER SECTION 6 - Alarms 6-1 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� The Alarm Server seeks to provide a better method of handling alarms on the Series 3a. You can also access any .wve files that are located in any \wve directory on any S3a drive. If you choose a wve file and then later remove this file, "Fanfare" will be substituted. REPEATING ALARMS - The Alarm Server also handles repeating alarms. There are many options for repeating an alarm. Here's a list of the possibilities: REPEATS: EXAMPLES: -------- --------- Hourly (every x hours) Daily (Every x days) Workday (Workdays, based on your system settings) Restday (Restdays, based on your system settings) Weekly (Weekly) Monthly by date (same date next month) Monthly by day (same day of week , next month, like third Wed.) Yearly (same day next year. Knows about leap years) Now this looks fairly simple and it is. What you see is what you get. But there is a method behind how they work in certain situations. METHOD: All repeating alarms repeat based on the original time and date recieved. What this means is that when an alarm is specified as being a repeating alarm, the time and date for the alarm is saved to file. If at any time the time and date are changed by using the snooze option from within the Alarm Server, the original date for the repeat does not change. If it did change, the repeat information would change too. In most cases this is not what you want when you hit the snooze button. (you can still snooze and reset repeating alarms, but the original time and date are saved also.) Example: You have a yearly alarm set for a family members birthday, and it rings to tell you to give him(her) a call. For argument sake lets say it's set to ring at 9:30pm. Well at 9:30 it rings and you hit the snooze button, and again at 10:30, etc... The next time it rings, it's after 12:00(12hr format) and now is the next day. If the Alarm Server was to reset the repeat based on the new time, it would ring a day late the next year, at 12:30am. This situation can be applied to all alarms and this is why repeating alarms are all based on their original time and date. Now there is a way to change this: In order to change this, change the alarm date/time in Notepad, or the edit option in the Alarm Server. In these cases, it is assumed that you want to change the actual time the repeat is based on. NEW ALARM 6-2 컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴컴� Psion Shift, or Enter when in Alarm Server view. Clear the alarm If you choose to Snooze the alarm, the Server uses the preferences to determine how long to snooze the alarm for. While it is snoozing, you have access to the machine again. (Even while it's ringing, you can press the system icon to leave the alarm in the background) If you choose "Reset", you have the option of editing the alarm, or choose "Tomorrow" to force the alarm to go off tomorrow. Tomorrow is set in the preferences. This gives you a way to press a button that makes the alarm ring again tomorrow. Notepad 5.2 or higher sends it's alarms directly to the Server, instead of to the built-in Alarm handler. When the Server starts up you may see it flash a message saying "Checking Mail.box". It will check it's own mailbox at startup to see if there are any messages that need to be processed. Of course if the Server is not running when these messages were sent, some of the alarms in the mailbox could be old. In this case the Server just dumps them. Unlike earlier versions of the Pelican Alarm Server, you will never get a busy message in Notepad when the Alarm Server is accessing it's data file. It is Freeware, and can be downloaded on Compuserver, AOL, Cix, or various places on the Internet. (src.doc.ic.ac.uk) Server allows you to create alarms that really just trigger a Macro to run. If you don't want to hear any sound when the macro runs, use "Silent" as the alarm. No dialog will come up like with an alarm. This way the alarm starts the macro running without any prompting from the user. This has unlimited potential. It could possibly start an online session by launching an off-line-reader. (As long as the reader supports an auto run mode.) A macro alarm like this could bring a certain program to foreground while you are sleeping, send messages to an app that supports Interprocess communication (IPC). Notepad can recieve messages in this way. A good example might be to run an notepad plugin that brings your Notepad entries for today into your todo list. With a Macro this can happen completely unattended. The rest is up to your imagination. We have done our best to auto-convert these files, and had users test the conversions with their own files. It is possible that there is a situation that we have not run into in our testing, and that your Server files may not convert perfectly, or at all. If this should happen, there are two options. � Send us your files and we will convert them � Rename/Delete the alarm.dat and Sndoff.dbf files, and restart Server.
